Meeting Agenda

Commenced at 8:00 This week is our first official meeting at Jefferson Underground

President

We need to nail down the differences between full and supporting members. We also need some sort of access control. As a group we should start thinking about these issues. We already have a security camera but access control is a priority.

We need to change the due date for dues.

Drew up basic map of ideas for the place. Suggested informally dividing the space up to a class/meeting area, a social/game area, and a work area. Everything is fairly mobile so we can rearrange as needed.

A lot of discussion took place about the optimal layout. Calling the floorplan a general plan. Next week bring your ideas to the meeting for discussions.

Walls in workshop room are very thin and voices can be heard from the other side. We want to build specific worktable for the CNC machine.

We've been talking about doing a viral video. Possibly we could work with the video studio above us for trade. We are looking for ideas. No need to discuss them now. Think about it and bring it up next week. Start a thread on the message board for it.

We are planning on becoming a nonprofit organization. We have plans to talk to other nonprofits and figure out how to get that all set up and to compare the goals of an actual nonprofit to see if they fall in line with our goals. It is a long and arduous process. Ben mentioned he has participated in starting one up. Also talking with Zombie Squad and the International Costuming Guild.

Set up a possible date very soon for a full open house. Get a proper class schedule set up. Should it be before or after Memorial Day weekend?

Anyone interested in a episodic web thing that Deech is working on? He can't get into details, but we will need replica sets of the original series Star Trek. Will not include the bridge.

How to scheduling tool use. For example, the drill press takes some time to set up. Nothing has been set yet as it hasn't been and issue. Really it comes down to the “don't be a dick” rule for the meantime.

What about project lockers? There is a plan for a basic foot locker that is being tested out.

Discussion on changing the date for membership dues:

We need to reliably budget month to month. Previously people just had to pay during the month. We are talking about switching to paying a month ahead of time. How do we handle for people who join in the middle of the month. Treasurer is of the opinion to not prorate new members. Just give people a free month.

First suggestion is that membership dues are required at the the first meeting of the month and then delinquent on the second meeting. Chris said the software doesn't like dealing with the “first tuesday” and recommend an actual date be set.

The date is meant for the Treasurer and budgeting purposes.

Revised suggestion is that dues are due at the first. Reminder is announced at the last meeting of the previous month. Members are delinquent after the 7th. This ensures a general meeting has passed if a member needs to pay in person.

Consequences of being delinquent are deactivation in the member forums. Once access control is set up, we can tie that in as well. After one month a member will be deleted.

If you can't pay you can talk to the board privately about keeping access. We have provisions to allow your to work for your membership. It's kept anonymous. Basically, if you've not payed for two months, we assume you have walked away.

If we do create a suitable access control system, do we want to bring it to the landlord for building use?

We will bring the revised rule for membership dues to a vote next week.
